  • Support the Executive Vice President along with additional support of Sales team leaders
  • Manage complex calendaring, travel arrangements (domestic and/or international) with accompanying detailed itinerary for executive and direct reports as necessary, with foresight to anticipate changes and modify accordingly
  • Submit and verify all expense reports for executive(s). Plan, prioritize and organize high volume of day-to-day activities, increasing executives efficiency
  • Prepare and coordinate logistics and day of events for the bi-annual sales meeting
  • Coordinate meetings and conference calls ensuring action items and deliverables are handled
  • Arrange meetings and coordinate special events , i.e. department meetings, coffee chats, to increase executive visibility at all levels within the organization
  • Compose and draft correspondence and other documents
  • Interface with internal and external clients on behalf of executive(s) and manage communication with direct reports
  • Produce communications including emails, announcements and spreadsheets within the organization that represent the sales department
  • Researches, prioritizes, and follows up on incoming issues and questions addressed to the executives(s), including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
  • Act as liaison and maintain open lines of communications among senior executives and entire team
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact
  • Executive presence working with Board of Directors members
  • Manage supplies ordering for the Sales team
  • Manage other projects as defined by specific position
Experience and Skills
  • Excellent verbal and written skills
  • Must have 3-5 years or more experience at the EVP level or higher, Sales support experience preferred
  • Advanced proficiency in MS Office - Word, Excel, PowerPoint and Outlook
  • Travel planning experience
  • Event planning experience is preferred
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Work autonomously with little direction and still meet deliverables
  • Ability to handle confidential and sensitive information in a professional manner
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Anticipates needs with a strong sense of initiative and customer service
